The whole camp, run from one place
Campers, sign-up, rooms, the week's schedule, the menu, announcements, the lights-out round, medication and chat all live in the same place. The camp leader has one control panel, the staff have a link with a code, and the campers have the app. No spreadsheet that exists on one laptop only, and no slips of paper to collect afterwards.

How it fits together
One camp, six ways in
Everyone sees the same camp, but only the part they need. The camp leader runs all of it, the staff get a link, and the campers have the app. There is one place where the information lives — everything else is a view of it.
The sign-up page
One link for campers and parents to sign up through. Consent is part of the sign-up, so it does not have to be chased afterwards.
Room preferences
A short questionnaire the campers get as a link. You can see who has not answered yet, before the allocation is made.
Check-in
The staff get a link with a staff code. Arrival and kit handout are marked straight from the phone at the door.
The app
Campers and staff activate with the camp's code and pick themselves from the list. After that they have their own page.
Announcements with push
To everyone or to selected groups. Scheduled announcements are sent by the server — the control panel does not need to be open.
The campers
The list everything else hangs on
Campers are imported once from your own spreadsheet. After that they appear in the schedule, in the rooms, in the lights-out round, on the medication card and in the app — without anyone typing them in again.
- Import from Excel and CSV. Both the main file and the accommodation file, exactly as they come out of your sign-up system.
- Key figures at the top. Signed up against expected, how many are in the app, how many have arrived, and who is online right now.
- Search, sort and filter by group — find one camper among 180 from two letters.
- Everything in one record: medication, kit size, parent contact and present-or-away status.
- Export to Excel with the kit order already counted per type and size, ready to send to the supplier.
Campers get into the app with the camp's activation code and pick themselves from the list. From there you can see who has logged in, who has arrived, and who is still missing.
The rooms
The allocation nobody wants to do by hand
The campers write down who they would like to share with. The server works out an allocation, and you get a proposal per room to accept or reject. If it does not look right, you simply run it again.
- The preferences come from the campers themselves through the questionnaire link.
- You can see who has not answered before you start the allocation.
- A proposal per room with approve, try again or discard.
- Corridors or rooms. The layout is set up the way the building actually is.
- Always a current picture of who sleeps where — including when someone is moved mid-week.
The day
The programme, the food and the messages
What the campers ask about is in the app. Change something in the control panel and it is on their phone immediately — and they get a notification if it concerns their own group.
- A schedule per camp day and group. New and changed activities notify the group they apply to.
- The menu with free-form meals per day — and the campers' thumbs up or down, so you can see what actually landed.
- Announcements to everyone or selected groups, with a history and the option to pull one back out of the app.
- Scheduled announcements. Write it in the morning, set it for 16:00 — the server sends it, even with the panel closed.
- The duty phone switches itself between the day and night number, so the safety button in the app always reaches whoever is on duty.
The evening
The lights-out round takes two minutes
The instructor walks the corridor with the phone in hand and ticks off each room. The control panel shows the round as it happens, so the office can see how far along it is without asking.
- Four states: in bed, missing, at home, and not checked yet.
- Campers who have gone home are not counted as missing.
- After midnight the round still belongs to the evening before — otherwise it would reset itself in the middle of the job.
- The medication card shows the day's medication per camper with tick-off, and resets automatically each day.
- It is all in the log with a timestamp and a name, in case something has to be documented afterwards.

The chat
An adult to write to
Campers can message the staff in the app, and the staff can message each other. It is the quiet way to ask for help for those who will not knock on the office door.
- A duty rota. Day from 07:00 to 22:00 and night from 22:00 to 07:00 — a message pushes to whoever is on duty.
- Quick replies for the things that get asked every day.
- Unread messages in one place, so no conversation gets forgotten in a busy week.
- Campers can only start a conversation with the staff — not with each other.
- The camp leader has oversight of the conversations in the app.
Licence per camp
You pay for what you use
Campers, the schedule and the noticeboard are always included. We switch on the rest for you. Modules outside the licence appear locked in the panel, and the server refuses their calls — they are not simply hidden.

Operations
Built for a boarding school, not for an office
Camp Suite runs on our own server in Denmark on Node, SQLite and WebSocket. Your campers' records live there — not in a third-party cloud we cannot point at ourselves.
- Passwords are stored hashed, and logins last 30 days, so the staff are not signed out mid-week.
- Change an activation code and everyone using the old one is signed out of the app immediately.
- Set the camp inactive and neither the camp leader, the staff nor the app can log in.
- A log of who did what, and an export of everything to Excel when the camp is over.
- A nightly backup and an email warning if something looks wrong.
- 21 automated tests cover the rules, the room allocation and the whole API flow, so a fix in one place does not break another.
Push notifications are sent through a push service, which every app needs in order to notify you while it is closed. The camper records themselves never leave our server.

Running one camp a year? Pay per camp. The price covers two months, so registration and follow-up are included. Using the system for several camps or all year? The subscription is cheaper. Subscriptions run for 12 months at a time. All prices exclude VAT.
